This notice explains how London Decking Specialists uses personal information when you visit our website, request a quote or use our decking supply and installation services.
1. Who is responsible for your information?
London Decking Specialists is a trading name of M J Kloss Carpentry and Joinery Limited (company number 15532974), the data controller. Our contact address is 16–28 Penarth Street, London, SE15 1TX. For privacy questions, email info@londondeckingspecialists.co.uk.
2. Information we collect
When you enquire, we receive your name, email address, telephone number, postcode, chosen decking service, any project details you provide and, through enquiry tracking, the page and campaign associated with your enquiry. If you proceed, we may also need your property address, measurements, appointment details and order, payment and warranty records. Please avoid sending sensitive information that is not needed for your enquiry.
Our hosting provider processes technical information such as IP addresses, request times and browser details in security and access logs. Our form delivery provider uses security and spam-prevention measures to protect submissions.
3. Why we use it and our lawful bases
- Enquiries, surveys and quotations: to take steps at your request before entering a contract.
- Orders, fitting and customer service: to perform our contract with you.
- Security, fraud prevention and handling general queries: our legitimate interests in running a secure business and responding to customers, balanced against your rights.
- Accounting and other required records: to meet legal obligations.
- Optional promotional emails: where we have valid consent or another permission under the applicable electronic marketing rules.
4. Marketing choices
Where we have valid permission, we may email occasional decking news and offers. Submitting an enquiry does not record a separate marketing opt-in. We need to establish the applicable permission before sending promotional emails. You can withdraw consent using the unsubscribe option in a marketing email or by emailing us. This does not affect the lawfulness of earlier use. Necessary messages about your enquiry or order are separate from marketing.
5. Who receives your data?
Our authorised team uses your details to handle your request. Trusted service providers, including eUKhost for website hosting, Web3Forms for enquiry form delivery and WhatConverts for enquiry attribution, process information on our behalf. Where needed, we may share relevant details with suppliers or installers to fulfil your order, professional advisers or authorities where the law requires it. We limit sharing to what is needed and require appropriate protection.
We do not sell your personal information or give it to third parties for their own marketing. If a service involves a restricted transfer outside the UK, we must ensure the applicable UK transfer requirements are met, for example through an adequacy decision or approved contractual safeguards.
6. How long we keep information
We keep enquiry information only while needed to respond, follow up and resolve relevant issues, and review it for deletion when it is no longer needed. Order and financial records are retained for the applicable statutory periods. Relevant project information may be needed for a warranty or a legal claim. Retention depends on the purpose and legal requirements; records are not kept indefinitely simply because storage is available.
Marketing records are reviewed for continued relevance. When you unsubscribe, we may keep the minimum suppression record needed to honour your request. Hosting logs and mailbox backups follow the provider’s retention arrangements.
7. Cookies and website services
Enquiry forms: when you submit our form, Web3Forms processes the details you enter to deliver your enquiry to us and help prevent spam. Its processing and retention arrangements are explained in Web3Forms’ privacy policy. Our own copies of enquiries are handled as described above.
WhatConverts: our website uses WhatConverts to connect calls and form enquiries to their source. It processes visitor identifiers, page and campaign information and may process submitted enquiry details on our behalf. A tracking telephone number may replace our usual number while still connecting you to us. Cookies and browser storage support visitor identification, attribution and number replacement. This does not subscribe you to promotional emails.
WhatConverts is loaded when you visit this website. You can manage or delete cookies through your browser settings, although blocking cookies does not necessarily prevent all requests to a website service. You can contact us by email if you prefer to discuss your project without using the web form.
These service providers may process information outside the UK; applicable transfer safeguards are required as described above. Read more in WhatConverts’ privacy policy. Contact us to ask about the data associated with your enquiry or to request deletion.
Telephone enquiries: call attribution records may include your telephone number, the time and duration of the call and its marketing source. Please contact us if you have questions about how a particular call was handled.
8. Your rights
Depending on the circumstances, you may request access, correction, deletion, restriction or portability of your information. You may object to processing based on legitimate interests and can always object to direct marketing. Some rights have exceptions, for example where records must be kept by law. We may need to verify your identity and normally respond within one month.
Contact info@londondeckingspecialists.co.uk to make a request. You can also complain to the Information Commissioner’s Office (ICO).
